Editorial Guidelines

At XpressWire, we know that a well-written press release is key to capturing media attention and building brand credibility. To ensure consistency, clarity, and impact across every distribution, we’ve outlined the following editorial guidelines. Following these standards will help maximize the effectiveness of your announcement and uphold the professional quality our network expects.

Let’s work together to share your story the right way—with clarity, structure, and purpose.

1. Headline

Craft a clear, compelling title that includes your company name and the core message of the release.
Limit: 10 words or 75 characters max.

2. Featured Image (Optional)

We recommend including a featured image sized at 1280×720 pixels for optimal visual presentation.

3. Introduction

Begin with a brief paragraph that introduces your company and summarizes the main announcement. Aim for clarity and relevance to hook readers quickly.

4. Body Content

Keep paragraphs short—ideally 3 to 4 sentences each. Maintain a professional tone, use active voice, and avoid excessive jargon.

5. Boilerplate (“About Us”)

Include an “About [Company Name]” section at the end of your press release. This should be 1 concise paragraph describing who you are, what you do, and where you’re based.

6. Social Media Links

If applicable, include your social media links in this format at the bottom of the release:

7. Submission Format

You can either:

  • Use our Submit Press Release form.

  • Or email us your press release in Google Docs or Microsoft Word format. PDFs are not accepted.

8. Dateline Format

The dateline should appear at the beginning of your release and include the city, abbreviated state/province (if applicable), country, and full date.

Example:
New York, NY, USA, March 1, 2025

9. Links & Backlinks

Include backlinks using anchor text only. Avoid pasting raw URLs into the body of the release unless otherwise requested.

By adhering to these editorial guidelines, you help ensure your press release meets XpressWire’s standards for quality and professionalism—enhancing both your reach and your reputation.

Thank you for choosing XpressWire as your press release distribution partner.
